Regular, Benefited State Employees

Administrators (both APA members and non-unit professionals) enter their attendance directly into HRCMS using Self-Service Time & Attendance (SSTA). Employees are responsible for completing the SSTA online training and entering their own time on a weekly basis. Time approvers (supervisors/managers) are responsible for ensuring that the employees in their area have entered time for each pay period and for approving the time entered by their employees. Librarians record their daily attendance on a Weekly Attendance Sheet, while classified staff are required to complete a written record of their daily hours on a Weekly Attendance Sheet. Individual faculty members record their daily attendance on a Weekly Attendance Sheet (green) while the department chairs report faculty attendance collectively on a Weekly Summary Sheet.

Blank attendance sheets may be obtained from the Payroll & Benefits Office as needed. Please do not use photocopies.

The faculty Weekly Summary Sheet may be obtained from Valerie Kelley (vkelley@worcester.edu). It is an electronic spreadsheet that is to be completed, printed, and signed by the department chair each week.

It is imperative that you submit your completed and signed attendance sheet on or before the deadline (Thursday, 8:00 a.m.) each week  in order for your pay and leave accrual calculations to be accurate. Accrued leave balances as well as leave used are printed on your pay advice. Department chairs are required to submit the Weekly Summary Sheets each Thursday by 8:00 a.m.

All changes or corrections to submitted attendance sheets must be made in writing via e-mail to attendance@worcester.edu with a copy to your supervisor for confirmation. Any changes affecting an employee's gross pay (e.g. overtime) must be submitted by the employee's immediate supervisor or department head in writing as soon as possible but no later than 11:00 a.m. on the Monday of a pay week. No changes will be accepted via voice mail or phone calls.
