IT Budgetary Guidelines for Academic or Administrative Purchases

Purpose:
Outline budgetary procedures for purchasing IT related equipment. IT related equipment as defined by 'attaches to or installs on' a computer or network. This policy includes network, software and hardware purchases.
Statement:
Barring extraordinary circumstances, all faculty and staff computers will be replaced strictly on a lifecycle basis. Individual departments should not budget for computers, projectors, printers, and network attached devices.
Description:
- Information Technologies centrally budgets for the following software:
- Microsoft Operating Systems
- Microsoft Office Products
- Antivirus/Antispyware Products
- SPSS (server-deployed only)
- Photoshop (campus graphic labs only)

- All computer hardware/software and network requests must be reviewed by Information Technologies prior to approval. Computer hardware, software and network requests may be submitted online at "Technology Budget Request". The purpose of this review is to ensure integration within current and future University computing resources and evaluate long term support and maintenance costs.
- All computer hardware/software and network requests funded by outside agencies still must undergo a formal Information Technologies review process to ensure integration within current and future University computing resources and evaluate long term support and maintenance costs. .
- The final approval of hardware and software requests is contingent upon the completion of annual Department Technology Planning.
- Academic departments are strongly encouraged to consider how to leverage the University's distributed laptop requirement to meet department curricular goals, such as specifying student and timed-leased versions of software. Additionally, academic departments are encouraged to develop collaborative software standards with allied disciplines. Please visit http://it.worcester.edu for a current list of affordable software available for student purchase.
- Academic and administrative departments must budget for specific software that is not part of Information Technologies' master software list, contingent on review and approval. Software must be inventoried by Information Technologies into the University's Inventory Control Database the original or a copy of which to be stored centrally in IT.
