It is made up of the software that allows users to create and manage websites. There are over 455 million WordPress websites out there, and many are home to Higher Education websites just like WooState’s.

Logging in

Content managers will be able to log in by either clicking on this URL, [https://www.worcester.edu/wp-admin/] cutting or pasting or entering this URL in their browsers. Once they have done this, they will then be taken to the WordPress Dashboard. In technical terms, this is called the “Backend”, and managers will see this referenced throughout this training guide.

The WordPress dashboard shows the manager 3 basic parts of the backend of the website:

The main WordPress menu on the left-hand side of the screen that extends vertically

The WordPress toolbar at the top of the screen that extends horizontally

The main work area between the menus where the magic happens 🙂

1. The WordPress Menu [insert once left-hand side menu is completed]

This menu runs down the left-hand side of the backend of the website. Content on the website is controlled by this menu interface. The blue highlight indicates where the content manager is within the menu. Many of these menu items open up into submenus, allowing the content manager to edit even more settings.

For content managers, the most frequent menu item they will visit is Pages or Programs and the Media Library.

Posts are in reference to the blog for the particular site being edited. Not all suites will have a populated blog, but all sites will have the posts menu item.

Content managers can collapse this menu and create more working space by clicking on the bottom menu item.

If content managers have any questions related to this menu they should contact the Communications & Marketing team.

2. The Horizontal Toolbar

In the top right-hand corner of the screen, the content manager will see the words “Howdy, [manager’s username] with a grey square icon. This is the manager’s account, where they can see that they can edit their profile and log out if they choose.

The next icon they see will be titled “Events” Clicking on this will take them to the Events editing section where they can edit events.

The next tab that they will see is a plus icon followed by the words “New”, hovering over this with their cursor will show the user a dropdown list of new content they can build, whether it be a page, a post, a media item or a user.

The icon to the left of the “New” tab is two arrows forming a circle. This is the tab that indicates how many technical updates this site has. Content managers will not be responsible for these technical updates.

The tab to the left that reads “Customize” is where edits to the theme settings can be made. Content managers will not be responsible for editing the theme.

To the left of the “Customize” tab is the name of the particular subsite the manager is on at that given moment. If the content manager were to switch to a different subsite within the network, the name of the site will change, always letting them know what site they are on at all times.

Clicking on this while in the backend of the website will immediately take the content manager to the “frontend” or the front-facing part of the website that is visible to the public. The user will still be logged in to WordPress, but they will no longer be in the backend.

Clicking that tab whilst on the frontend will immediately take the user to the WordPress dashboard of that given site.

What is a WordPress Multisite?

The new WooState website is built within a multisite structure in WordPress. This means that there are multiple different subsites and make up the WooState website network. Each department is its own subsite within the worcester.edu network.

What does this mean for Content Managers?

Content managers will only have access to the sites that are relevant to them and their role. Please contact the Communications & Marketing team with any questions

WordPress is a CMS or a Content Management System.
