The university’s 20 Rise Vision digital displays are centrally managed by the Office of Communications and Marketing and Student Affairs. The new displays replace paper bulletin boards that have been removed throughout campus.

All faculty staff, administrators and students are encouraged to submit content for the displays as we work to build a digital-first culture on campus and eliminate paper fliers, postcards and paper promotional materials. Below you will find submission processes, authorized and prohibited uses and community standards for the digital displays.

How to Submit Content for the Digital Signs

Student Affairs Departments 

  1. Use the Student Affairs Submission Form to submit your content
  2. Request design assistance: If you have photos or specific artwork and you’d like a custom designed slide or series of slides, please submit your request to the university’s design team in Publications and Printing at wsu_pubdesign@worcester.edu

Administrative and Academic Units

  1. Submit text only to be posted: Use the google form to submit text and if approved, the communications team will post your sign
  2. Submit completed slide: Already completed digital slides can be submitted via the Google Form
  3. Request design assistance: If you have photos or specific artwork and you’d like a custom designed slide or series of slides,  please submit your request to the university’s design team in Publications and Printing at wsu_pubdesign@worcester.edu

Content Review Process: Submissions are reviewed daily during regular working hours by the communications teams. Events can be posted up to 30 days in advance. We encourage submissions at least seven business days in advance of when the sign should be posted.

All submitted content is subject to review, revision and approval based on authorized use, community standards, Title II compliance for completed slides, brand alignment, as well as grammar, punctuation and style. The system administrators in Student Affairs and Communications are authorized to decline or edit content submissions, and to remove or edit live content that has been posted.

    • Student club and OSILD events and activities
    • Athletics events and activities
    • Campus lectures, guest speakers, symposia, workshops, performances
    • Academic programs and initiatives (ie. study abroad, new course offerings)
    • University special events  (Unity Day, Phil Day, Congrats Day, Homecoming)
    • Student and faculty achievements
    • Photos of campus events, students, faculty 
    • University rankings, history, facts and points of pride
    • Welcome messages for campus visitors, special guests
    • Employee, student and alumni spotlights
    • Campus news 
    • University updates 
    • Campus safety and sustainability messaging
    • Student support services messaging
    • Faculty and staff administrative and HR notices
    • Any content in violation of community standards or state laws
    • Content that incites illegal activity, is abusive, harassing or threatening, or targets any group or person
    • Content that contains defamation, obscenity, vulgarity, or sexual/violent imagery
    • Content from any off-campus organization or business. Non-Worcester State paper fliers will continue to be posted by OSILD manually on a single billboard located on the second floor of the Student Center.
    • Personal advertising of any kind
    • University ads. Digital signs are not the appropriate place for online advertising by any division, unit or program.
    • For sale announcements: buying, selling, or renting personal property such as apartments, cars, furniture
      • Apartment requests can be submitted to Linzy Martinez at lmartinez6@worcester.edu. 
    • Job Listings
    • Unauthorized endorsements: Content that implies the university officially sponsors or endorses a private product, service, point of view, or external organization without a formal partnership.
    • Private events that are not open to the campus community or all students
    • Obscure, coded, or unclear messages not easily understood by the public
    • Personal announcements: birthday wishes, private social activities
    • Confidential information: Any information that violates FERPA or Employee confidentiality
    • Partisan political campaigning or messages for candidates, causes, or issues
    • Copyrighted material
    • Low-quality media
  • Digital signage is for sharing university-only messages. As the university continues to build the program, system administrators will revisit the use of digital signage for university partnerships and sponsors, and investigate whether paid advertising is feasible. 

  • Audience First: Worcester State’s digital signage is designed to be relevant to a wide cross-section of the campus community including students, faculty and staff, and not for select groups or purposes. Content creators should keep in mind that digital signs are public, and consider how content will be viewed or understood by visitors, dignitaries, or prospective students and families.

    Intentional: Content on digital signage should be informative, educational, inspirational, actionable, or for the purpose of raising awareness and fostering campus pride.

    Guided by values: The content of Worcester State’s digital signage is a reflection of the core values of the institution: academic excellence, engaged citizenship, open exchange of ideas, diversity and inclusiveness, civility and integrity. The digital screens should project the best of us as a community with positive, inclusive, celebratory, and respectful messages.

    Accuracy: The content on digital signs will meet a high standard of accuracy. All statistics, dates, and names must be verified and fact-checked before submission.

    Timeliness: The content on the digital signs should be timely, seasonally appropriate, and in sync with the academic calendar. 

    Neutrality: Digital signage is centrally managed by university administrators and is politically and commercially neutral, reflecting the university’s policy of political neutrality.

Content Creators Tips + Best Practices

Students, faculty and staff are free to design content and submit it for the digital displays using the submission forms. Please refer to the best practices below if you choose to design your own content. As a reminder, all content is subject to review, revision and approval based on authorized use, community standards, Title II compliance for completed slides, brand alignment, as well as grammar, punctuation and style.

Content Creators Tips

Digital Signage Best Practices for Content That Gets Noticed.
    • AI can be used to help craft signage text and headlines, but should not be used to generate images or slides. 
    • Real photos of students, faculty, and experiences outperform generic or AI-generated content on digital platforms. 
    • Access the university’s photo library with your worcester.edu email.
    • One message: An individual slide should be about one topic only
    • Keep it short: Limit the amount of text on your slide to three lines of text, each with five words or fewer.  OR, five lines of text with three words or fewer.
    • Less is more. Signage should never feel like a burden to read and should be readable within 15 seconds. Stick to limited text, and try rewriting your message until it’s as short and concise as it can possibly be. Avoid clutter. Don’t fill your display with everything you can think of just because you can.
    • Perfect the Call to Action: To encourage audiences to take a specific action, ensure that your message is strong, clear, and concise. Give specifics (dates, times, and locations) and be precise. Tell people what to do: “Register by Friday,” “Scan to sign up.”  Avoid vague directions like “Learn more,” which works in email, but not on a screen someone passes in five seconds.
    • Be positive, inviting and inclusive:  Lead with positivity by using language that is supportive, welcoming or celebratory. (Instead of “If you don’t do X, these bad things will happen” try, “Here’s a simple way to improve X.) Swap out gendered language for inclusive language that embraces everyone. Ensure your images and language choices reflect the diversity of our entire university community. Avoid inside jokes that make people feel like outsiders. 
    • Consult the university brand guide to ensure your design complies with our visual identity guidelines. The university logos and colors are pre-loaded in Rise Vision and can also be downloaded from Photoshelter.
    • Use Sans Serif Fonts ONLY to ensure your slide is ADA compliant. The university’s brand font: Montserrat. Other good choices for ADA compliance: Arial, Helvetica, Verdana, Open Sans
    • No more than 2 fonts on your slide
    • Italicize Sparingly. Italicized text is harder to read at a glance. If you need to italicize, do it sparingly, keeping to two words or fewer.
    • Visuals are central to your design. They should always add to your message — never detract through complicated, unrelated images.
    • Use large font sizes. They are easier to read at a distance. Here are recommended font sizes based on distance from the screen:
      • 12 inches away = 34 pixels
      • 18 inches away = 50 pixels
      • 25 inches away = 66 pixels
      • 3 feet away = 100 pixels
      • 6 feet away = 200 pixels
      • 9 feet way = 265 pixels
      • 12 feet away = 400 pixels
    • Design slide in layers
      • One primary message in the foreground
      • Supporting context
      • And background design that reinforces rather than compete
    • Use high-contrast colors for background and text to ensure your slide is ADA compliant. This web accessibility tool allows you to input the color of the background and text to check the contrast ratio. Common university brand combinations that are compliant include:
      • Woo State Blue (HEX #003087) with Snow Day White (HEX #FFFFFF)
      • Chandler Street Blue (HEX #111C4E) with Snow Day White (HEX #FFFFFF)
      • WooState Blue (HEX #003087) and Lancer Yellow (HEX #FFB81C)
  • Design specifications for 65-inch full-screen digital signs:

    • Resolution: 3840 × 2160 pixels (4K)
    • Aspect Ratio: 16:9 (landscape)
    • Recommended image size: 3840 × 2160 pixels
    • Supported formats: JPEG and PNG, Power Point and Google slides
    • File size: Keep image dimensions close to the display resolution
    • Yes to QR Codes: QR codes on digital displays average a 14% scan rate, outperforming traditional digital ads. Make it large enough to scan from at least five feet away, and pair it with a single-line instruction. A QR code with no context gets ignored. QR codes can be created by the university design team or in Canva and should link to university web page
    • Video: You can add video that is appropriately captioned to be Title II compliant. Sound will be turned off.
