The Student Accounts Office at Worcester State University oversees all aspects of student financial accounts, including preparing bills, collecting payments, and processing refunds. We work closely with the financial aid, registrar, and retention offices to resolve financial issues affecting students.

How can I pay my Bill?

Financial Aid: All students are encouraged to complete the FAFSA to determine if the student is eligible for grants or scholarships. Once the eligibility for grants and scholarships is determined, the following options are available to cover any remaining balance.

Scholarships: Internal Worcester State scholarships and external scholarship award letters should be forwarded to Student Accounts so that we can defer the amount from your billed total.

Check or Money Order: Paper checks are accepted in-person or through the mail.  Electronic checks are accepted for no-cost to the student online through Self-Service.

Monthly Payment Plan: A low cost, interest-free, monthly payment plan is offered through Official Payments/ACI. Please go to https://payplan.acipayonline.com/Default.aspx for more information and to enroll.

Federal Direct Loans (FAFSA required): Students and parents may be eligible for low cost Federal Direct Loans. Eligibility for Federal Direct Loans is determined by the Financial Aid Office.

Private Loans: Private loans may be available to students and parents. Worcester State encourages families to search for cost-effective options that may be available.

Debit or Credit Card: Accepted in-person or online. As of 7/1/23 a non-refundable 2.2% service fee will be added by the credit card processor for all transactions.

Financial literacy

Important Billing Information for Parents/Guardians

We understand that the process of paying for college can be a bit overwhelming and we want to review some important aspects to make it as easy as possible. Please contact us if you do not find the answers to your questions in the topics below.
  • Students can elect to add proxy access to individuals who may assist them with their billing and/or payments. This can be added via Self-Service under “User Options” in the top right corner of the page.

  • The Federal Education Rights and Privacy Act restricts our ability to speak to anyone other than the student without the student’s written permission. If you intend to call or email our office regarding your student bill, they will need to fill out the FERPA release form which can be found at www.worcester.edu/FERPA.

  • Initial semester bills are sent to students electronically. For the Fall semester they will get an email in Mid-July and for the Spring semester they will get an email at the end of November letting them know their bill is available to view in Self-Service. If you have been added as a Proxy, you will also get this notification. Paper bills are only mailed for past-due notifications.

  • You are expected to remit payment due on this statement on or before the due date. If payment is not received by the due date, a non-payment hold will be placed on the student’s account. This hold will affect their ability to make schedule changes. Additionally, any unpaid account will be subject to suspension of Blackboard and deletion of their entire schedule for the semester. Payment can be made online after logging into Self-Service.

  • At Worcester State University, students have the ability to register for both day and evening courses at will. However, the fee structure for these courses are different. If the student chooses to mix their schedule, this could affect their overall balance due, and should be carefully considered. The Student Accounts staff can give estimated billing scenarios if the student is unsure if the courses they chose will affect their bill.

  • If the student has been assigned a room, charges for the room and corresponding meal plan will be included in the bill. Questions regarding housing assignments should be directed to the Residence Life and Housing Office.

  • If the student has met the Financial Aid Office (FAO) deadlines, their financial aid should appear as ‘pending aid’ on their statement. If it does not, please contact the Financial Aid Office at 508-929-8056. For Federal student loans to appear as ‘pending aid’ they must have accepted their award in financial aid Self-Service and have completed Entrance Counseling and Master Promissory Note (MPN). Both Entrance Counseling and the MPN can be completed at https://studentaid.gov/.

  • If the student does not plan to attend Worcester State University this semester, they must notify the Academic Success Office to schedule an appointment. Non-attendance in classes does not constitute withdrawal, and they will still be responsible for any charges incurred.

  • Students who cancel their registrations, drop courses, or withdraw from the university during the add/drop period will receive a full refund. The add/drop period is held during the first two weeks of the semester. Any course that is withdrawn after this period will not result in a refund.

  • Students can now enroll online to receive their student refunds directly deposited into their bank account. No need to wait for a paper check to arrive in the mail and then have to go to the bank to deposit or cash the check. It is easy to enroll! Login to WebAdvisor — On the WebAdvisor for students menu under “Financial Information” you will find a link for “Enter Direct Deposit Bank Information”. Input your banking information and when complete you will receive a confirmation email. Please contact the Student Accounts Office for more information.

  • WSU offers two low cost, interest free monthly payment plans-for more information and to enroll:
    • Nelnet:  https://mycollegepaymentplan.com/wsu/
    • Or after 7/1: ACI: https://payplan.acipayonline.com/Default.aspx
  • If you have a charge for health insurance, and you have your own coverage, you can waive the charge at universityhealthplans.com. If you need the insurance, the enrollment form is also found there.
